Administrative Assistant

 

Young Playwrights’ Theater (YPT) seeks a full-time Administrative Assistant to provide general administrative support to the organization’s Programs, Artistic and External Affairs teams, and to provide occasional teaching support for YPT’s arts education programming. This position will report directly to YPT’s Program Director.

The ideal candidate will be a strong administrator with a passion for arts education, theater, young people and advancing racial justice. They will have strong writing and oral communication skills, proficiency with Microsoft Office Suite, an aptitude for working with numbers, a commitment to excellence and experience teaching young people. They will be committed to getting results in a fast-paced environment and be able to handle a heavy workload without dropping the ball. This position is an opportunity to support the business side of a nonprofit organization while impacting young people in the DC metropolitan area in a meaningful way.

Job Responsibilities

The Administrative Assistant is responsible for the following:

General Office Support

  • Greet visitors, answer phones, handle office mail.

  • Process check requests, process weekly upload to bookkeeper and maintain financial records.

  • Maintain office calendars and schedule meetings as assigned.

  • Order office supplies.

  • Maintain system of physical and virtual office files for Program, Artistic and External Affairs teams.

  • Coordinate relationships with outside vendors, particularly off-site IT contractors.

  • Track expenses, serve as point of contact for bookkeepers and coordinate receipts and other supplemental materials for YPT’s annual audit.

  • Maintain physical organization of office space.

  • Regularly update and produce reports from YPT’s database.

  • Other duties as assigned.

Program Team Support

  • Serve as a substitute teaching artist and occasionally teach drop-in workshops and short residencies. 

  • Prepare and distribute contracts and relevant paperwork to teaching artists, school partners and other program-related stakeholders, including, but limited to: contracts, MOUs, clearance documentation and more.

  • Dispense and track payments to all program-related contractors.

  • Collect and catalogue student data including contact information and demographics.

  • Gather and input student assessments from all programs. Support with typing student work as needed.

  • Create and maintain systems and processes for tracking documents and information related to current and archival programs and productions.

  • Support the Program Director in tracking earned income.

Artistic Team Support

  • Provide front-of-house support for YPT performances.

  • Other duties as assigned.

External Affairs Team Support

  • Coordinate bulk mailings.

  • Execute and track correspondence with donors.

  • Assist in the preparation for board meetings.

Qualifications

We require at least one year of experience in arts administration and/or teaching artistry. We are seeking candidates who excel in arts administration, are creative, detail-oriented and who have strong teaching skills. Candidates should have:

  • A track record of providing excellent administrative support, ideally in an arts environment 

  • Experience teaching young people

  • Strong writing skills

  • Proficiency and affinity for math and numbers 

  • Experience with Microsoft Office Suite, Google Drive, office phone systems and CRM databases

  • A demonstrated commitment to meeting a high bar and a history of getting things done even in the face of obstacles

  • Experience managing multiple projects and the ability to take the initiative to create new projects during slower times of the year

  • Knowledge of ways white supremacy manifests in society and a commitment to dismantling racism

  • Ability to occasionally work evenings and weekends

Salary and Benefits

This position is full-time and the starting salary is $35K. Benefits include vacation, holidays, fully paid family and medical leave, fully covered medical and dental insurance with Flexible Spending Account, 403(b) plan and more.
